Retirements: The effective date for employee retirements is January 1, February 1, March 1, April 1, May 1, June 1, July 1, August 1, September 1, October 1, November 1, or December 1 of each year. When submitting employee retirements for processing, please make certain that the effective date entered into the PeopleSoft system is the 1st of the month and that the supporting documentation from the employee states they are retiring the 1st of the month.  For example, the supporting documentation should state: “I would like to inform you that I am retiring from the University effective May 1, 2016.”

Terminations: The effective date for employee terminations in the PeopleSoft system is the last day/date worked plus one (1) day. When submitting employee terminations, please make certain that the effective date for the termination is the date/day after the last day worked (last day worked plus 1 day) and that the supporting documentation states both the last day and date worked as well as the effective date and day of the termination.  For example, the supporting documentation should state: “I would like to inform you that I am resigning from the University effective Wednesday, December 14, 2016.  My last day worked is Tuesday, December 13, 2016.”

If the employee’s last day worked is a Friday, you can enter and the supporting documentation can state either the Saturday day and date (last day worked plus 1 day) or the Monday day and date that immediately follows the last Friday day and date worked. For example: “I would like to inform you that I am resigning from the University effective Saturday, December 10, 2016.  My last day worked is Friday, December 9, 2016.” Or, “I would like to inform you that I am resigning from the University effective Monday, December 12, 2016.  My last day worked is Friday, December 9, 2016.”

Terminating and retiring employees may take accrued and available vacation, Personal Holidays (PH, Mandatory Leave days (ML) or Administrative Leave days (AL) prior to the termination date; however, an AL or PH day cannot be the last day paid. AL, PH, and ML days are not paid out upon termination or retirement.
